Job Description

Title: Senior Manager, Programs and Administration

Function: Management

Reports to: Board of Directors

Leadership responsibilities: Program Management and Administration

Position Summary:

The Senior Manager, Programs and Administration is a full-time role focused on delivering ISB’s programs and services to our community. He or she is responsible for all aspects of programs and administration of the Islamic Society of Boston, a non-profit religious institution that runs the largest Islamic Center in New England.  The incumbent will play a key role in understanding the pulse and needs of the community to develop, plan and execute all the programming, marketing and outreach, fundraising as well as leading the administration of the organization. 

In collaboration with the Board, Facilities, Securities and operations teams, the incumbent will bring program leadership, administration excellence, problem solving aptitude and creativity to execute the organization’s vision and mission through high quality, high impact, engaging and result-oriented community programs. 

The incumbent will manage program, administrative staff and volunteers. He or she will contribute to a team culture which enables the innovation, richness and relevance of programs for the diverse community ISB serves.

Key Accountabilities:

General Program Management:
  • Overall ISB programs and services responsibility, including the weekend school and other youth programs, religious services,  including program design and development, planning, marketing and outreach, communications, and execution with support from the Manager Operations for  IT, facilities and security needs
  • Develop a template of program development to share proposed/new program ideas to the BODs
  • Produce and implement a reporting metric for all executed programs reflecting jointly agreed KPIs (Key performance indicator)
  • Create and maintain a system of receiving feedback from the community members about executed programs and events as well as ISB’s general effectiveness as an organization
  • Develop and execute an annual and monthly programs calendar within the approved budget In partnership with the facilities, operations, and security teams
  • Identify opportunities for process improvement and effective ways to achieve the program goals and objectives
  • Build and maintain program participants, facilitators, sponsors, vendors, contractors, etc. in a database
  • Continually evaluate and improve administrative processes and systems
  • Establish a collaborative and transparent work environment
  • Serve as the functional leader and mentor for the program and admin staff and execute the performance management process for the designated staff
  • Actively participate to foster an Islamic culture of leadership, embodying the values of the ISB (Islamic Society of Boston

General ISB Administration
  • Jointly lead, along with the Manager Operations, ISB administration and serve as a primary point of contact for the BOD
  • Oversee daily operations of ISB administrative office
  • Oversee bi-weekly payroll process to ensure timely and accurate salary payment to staff, timely payment of invoices and bills
  • Manage a schedule of administrative staff to ensure coverage of the front office
  • Oversee troubleshooting day to day administrative issues to ensure smooth operations of the ISB 
  • Respond to or delegate ISB general inquiries, patrons questions and media inquiries
  • Maintain a PTO schedule for all ISB staff
  • Oversee ordering of program and office supplies
Overseeing Budget and Programs Funding
  • Create and lead the systems, strategy and processes for programs and administration management in collaboration with the BOD and BOT (board of trustees)  to ensure ISB has the financial foundation to pursue the programs
  • Ensure and solicit a robust donor prospects pool, engage staff in the process in a  proactive manner and ensure that prospective donors are effectively engaged
  • Crafting a  comprehensive fundraising and development strategy by understanding the donors and community
Community Engagement
  • Serve as a visible and accessible organizational leader, engaging with community members to understand their program and overall needs from ISB
  • Develop and manage a effective relationships with community members, staff, volunteers, contractors, vendors, Imams, and other stakeholder and engage with them in a 
  • Build and maintain a database of community members, professionals, organizations, and other stakeholders who could be engaged in potential sponsorships, conducting professional or community education sessions, workshops or talks, or could provide resources or be resourceful for programming, events, and other ISB activities
  • Lead cooperative community relationships and collaborations with other Islamic organizations, interfaith groups, and civic organizations
Education, Knowledge, Skills and Experience
  • Bachelor’s Degree with 4+ years of proven program coordination and/or management experience
  • Associate’s Degree with 6+ years of experience of proven program coordination, management and administration experience
  • At least 2 years of people management experience
  • Experience, exposure, and understanding of budgeting and fundraising
  • Highly organized , relationship-oriented and self motivated multi-tasker
  • Strong situational awareness, judgment, and decision making skills 
  • Exposure, understanding, and/or experience in non-profit sector 
  • Ability to think strategically and understand needs of the community
  • Resourceful, flexible and innovative; able to creatively deliver results with urgency in a resource-constrained environment
  • Ability to work independently as well as a team builder who is able to connect to a  diverse group both on an individual level and in large groups (including staff members)
