Administrative Assistant

Description:

The Administrative Assistant will report directly to the Executive Director of Islamic Society of
Boston (ISB). As a member of the ISB administration team, the admin assistant will assist the Executive Director with the day to day tasks concerning the overall development and progress of the center and its services. We are seeking someone who has excellent communication skills, is a quick learner, is detail oriented and organized with knowledge and understanding of Google Suite, and QuickBooks. An individual who has a passion to be a part of a multicultural and diverse organization and team will be the most successful in this role. ISB has two locations (Roxbury and Cambridge), but this position will be primarily based in Roxbury.

Responsibilities includes:

   ● Calendar management for Executive Director
   ● Prepare simple database or reports using excel/spreadsheets, word processing, powerpoint slides, QuickBooks, and other      applications
   ● Perform bookkeeping duties
   ● Manage and update event calendars
   ● Prepare memos, manage and process invoices
   ● Maintaining electronic filing records
   ● Solve problems in coordination with operations team and Executive Director
   ● Develop back-up or alternative systems for common problems such as power shortage
   ● Monitor, identify and develop new methods for processes and procedures
   ● Design and create a schedule of regular evaluation of the facilities
   ● Initiate interventions to solve problems in the facilities
   ● As required, support the work of staff and volunteers to help us execute the best quality work
   ● Participate in preparing the budget and track the projects of the facilities maintenance team accordingly
   ● Perform other duties as assigned.

Qualifications:

   ● High School Diploma
   ● 1-2 years’ of relevant experience
   ● Ability to conduct online research on different topics using social media and other web tools
   ● Ability to maintain confidentiality, exercise judgment and discretion

   ● Must be comfortable in interacting with wide and diverse range of cultural backgrounds
   ● Excellent written and oral communications skills
   ● Must be flexible and able to handle competing priorities, multiple tasks concurrently, and work efficiently
   ● May occasionally require working outside of normal business hours due to events or meetings
   ● Preference for multi-lingual: Arabic

Hours: This is a part-time (15-20 hours per week) job with potential to convert to a full-time position for the right candidate. The hourly rate range is between $15-$18 depending upon the experience of the candidate.
