I. SUMMARY OF POSITION:

The Executive Assistant to the Office of the Imam is responsible for assisting the Imam in the performance of his responsibilities. He/she needs to maintain complete confidentiality and discretion, assist as needed in crisis situations, and serve as an informed assistant to interface with the congregation and the Imam. In addition, this assistant will provide administrative support to the Imam and his support staff. This full-time position reports to the Imam and will work in collaboration with the MAS Boston Staff and MAS Boston Board and ISB Board of Trustees.

II. SPECIFIC RESPONSIBILITIES:

  • Serves as gatekeeper to the Imam, while ensuring people are helped in a friendly and efficient manner
  • Manages Imam’s appointments and schedule
  • Coordinates the ISBCC Fri. khutbah/sermons and halaqa/study-circle schedule, including guest Imams
  • Aids in preparation for meetings through the production of documents, handouts, reports, meals, reminders, etc., as requested by the Imam
  • Maintains the Imam’s files, library, and literature
  • Tracks and reconciles expense account for the Imam
  • Performs administrative duties for the Imam
  • Arranges and reserves all ministry-related travel, speaking requests, honorarium fees or stipends and contracts
  • Other duties as requested

III. MINIMUM REQUIREMENTS:

Education/Experience

  • Must have 3-5 years experience as an administrative or executive assistant, or similar.
  • Bachelor’s or equivalent degree/certification
  • Must possess a working knowledge of standard office equipment, including copiers, phone, calculators and fax machines
  • Must demonstrate strong working knowledge of MAC and PC computers, proficiency in software programs, including Microsoft Word, PowerPoint, Outlook, Access, Excel, database systems and use of the Internet, minimum typing speed 50 wpm
  • Must possess efficient, caring and discerning telephone skills
  • Must be able to work well under pressure

  • Must be able to engage and effectively communicate with people of diverse cultures, ethnicities, and backgrounds
  • Maintains confidentiality, discretion, and professionalism in all situations
  • Strong organizational skills
  • Is able to prioritize and multi-task, using good time management skills in a fast-paced environment
  • May require some travel to attend conferences or set up for off-site meetings
